Executive Assistant and Project Coordinator
College MatchPoint is growing! To help support our leadership and team, we're looking for an assistant to infuse more organizational magic to our company. You'll tackle scheduling, on boarding, project management, event planning, and more., As the first impression of College MatchPoint with our clients, you should bring a positive attitude, genuine interest in our mission, an entrepreneurial spirit, and a strong desire to learn. Our ideal assistant will anticipate our needs, portray a stellar image of College MatchPoint both internally and externally, and be resourceful and meticulous about details. Each day presents a new challenge, so, we need a go-getter, willing to jump into any task.
This experienced, reliable, tech savvy, and task-oriented Executive Assistant & Project Coordinator will be based in the Austin office, supporting our consultants and our clients. This is a complex, high-profile, and client-facing role in which you are not only the Executive Assistant but also a Project Coordinator, leading and managing the timeline, process, and administration of each client.
The ideal candidate will have a Bachelor’s degree and a minimum of five years in a support role at the Executive level, preferably within a Professional Services environment. Good organizational skills and the ability to learn quickly are essential. Previous college admissions experience would be a plus but is not required.
KEY JOB RESPONSIBILITIES
Manage the student timelines ensuring deadlines are met responding to action points and tracking progress towards milestone goals
Proactive meeting organization, arranging the needed materials prior to student/family meetings to provide a structured, fluid process
Management in project management tools, the Google application suite, Trello, online calendar and client management email communication tools.
Full Executive Assistant Support:
Act as a gatekeeper, and at times, spokesperson
Complete ownership and management of the calendar and inbox
Complex, demanding and ever changing calendar management; liaison between clients and consultants, arranging client meetings, prospective client appointments and a variety of other internal and external meetings Managing expectations with consultants and successfully balancing competing priorities
Ability to communicate effectively in email (grammar/spelling nerd)
Various other aspects of a complex and high profile client facing EA role
Responding to potential new business enquiries as the first point of contact, ensuring enquiries are handled in a swift and professional manner
Providing an outstanding onboarding experience for each new client and managing a detailed onboarding process
Salary and Benefits: full time-$36,000- $46,000 depending on experience; medical and dental insurance, vacation. Fun office with great snacks and candy plus Taco Tuesdays.
Hours: Monday- Thursday; 10-6 at our Westlake office; Sunday afternoons- virtual availability (with occasional in office hours)

Skills and background required for this role include:
An undergraduate degree (graduate degree preferred)
Experience in college counseling or college admissions
Proven, exceptional writing skills
Strong attention to detail and outstanding project management skills
Comfort working in an entrepreneurial, small-company environment

Good sense of humor combined with the ability to work in a high stress environment
Highest ethical standards
At least five years of work experience or combination of work experience and graduate school
Coaching students a caseload of 30-50 students working on students' academic and extracurricular profiles
Working closely with students on essay development and all written materials, while providing constructive feedback on essay topics, structure and writing
Conveying expertise in all areas of college admissions
Working some evening and weekend hours
Ability to handle high-stress situations and interactions
Hours: While hours are flexible, please note that the nature of this position requires that we meet with students when they are available-afternoons, evenings and weekends.
